Office & Guest Services Manager

Role:
The primary purpose of the Office and Guest Services Manager is to provide coordination, support, and management of the office functions and processes as well as managing the registration processes for all year-round guests, groups, and camps. This position will be the first and primary contact for all of our guests via phone, internet, and in-person encounters. This position will lead in the development and coordination of a thriving year-round camp and conference center community.

Skills
Bachelor’s degree preferred. Demonstrated ability to organize projects and processes, meet deadlines, demonstrate excellent customer service and provide administrative oversight to multiple tasks on an ongoing basis. Excellent computer, verbal, and written communication skills. Database management skills, phone skills, and the ability to use MS Office effectively and efficiently.
 
Qualifications:
• Committed Christian, active in their church, and growing in faith.
• Organized, outgoing, has initiative, creativity, and attitude of service.
• Good relational skills and good understanding of business processes, especially for camps and retreats.
• Flexible schedule (some weeks will require Friday evening and weekend work)
Summit Grove is a year-round camp and conference center. This is a full-time, 40-hr per week position, with the majority of hours being held during regular weekday business hours (8 AM – 4:30
PM). Overtime hours and weekends may be expected on some occasions, especially over the
summer. Throughout the winter months and off-season, hours may fluctuate between 30-40 hours, depending on need.
 
Major Responsibilities
Office Management & Administrative:
• Manage all the details of the registration process for guest groups and campers 
• Ensure coverage of the office phones and emails 
• Organize office operations and procedures 
• Keep accurate and up-to-date records and files 
• Assist with deposits and accurate record keeping of income received 
• Greet guests, open all buildings as needed 
• Ability to keep confidentiality and a professional attitude with all organizational information 
• Support the Executive Director as well as the Board of Directors as needed 
• Assist Development, Program and Finance staff as needed. 
• Assist with fundraising events and projects as needed 
• Supervise interns and summer staff assigned to administrative duties. 
• Aid in creating promotional content and verbiage for social media, website, and online platforms 
• Assist with housekeeping, food service, and/or event preparation duties as needed 
• Other duties might be added or changed depending on the person’s skills, abilities, and desires 
 
Guest Services: 
• Recruit and invite new guest groups to use Summit Grove facilities for their gatherings 
• Communicate with upcoming guest groups in a timely and effective manner 
• Coordinate hosting and preparation for each reserved guest group 
• Manage agreements, invoices and group tracking 
• Annual reporting and recording of facility use and numbers of guests 
• Promote Summit Grove to community groups and organizations 
• Willingness to keep some flexible hours that include weekends and compensate your time 
 
Physical Demands: Able to lift 40-pounds and help move bulky or large items as needed. The physical effort typically applied in this job includes: Lifting, Carrying, Reaching, Pulling, Pushing, Stooping, Standing, Bending, Speaking, and Listening.

Summer Camp Counselors & Support Staff

Summer Camp Staffing Opportunities:

Counselors: will lead campers through and participate in daily camp activities, including singing, Bible, nature, and recreation. Daily commitment approx. 7:30 am-5:30 pm. Counselors must possess a solid understanding of the Bible, strong relational skills and lots of enthusiasm. Preferably 16 or older, but persons aged 13-15 can apply for the volunteer role of Staff-in-Training, which has similar responsibilities and will work alongside the Counselors or Support Staff. This role serves Mondays through Fridays including a Sunday evening preparation meeting.

Support staff: will help serve in multiple areas of camp including leading games, chapel, registration, housekeeping, running snack bar, maintenance, serving as photographer, leading worship, and encouragement to all staff and counselors. Individuals must be flexible, take initiative, and have an attitude of service.

Lead Food Services Manager/ Weekend Chef

  • Coordinate with Guest Services Manager to prepare meals for guests and groups
  • Own all aspects of the menu planning and food ordering process
  • Manage all aspects of the meal prep and meal service
  • Prepare and serve all meals (breakfast, lunch, and dinner) during weekends and occasional weekdays
  • Manage the Snack Shack during large outdoor events
  • Clean up meals, put away leftovers, and supervise kitchen and dining room cleanup
  • Train and direct food services volunteers and staff
  • Supervise and double-check work done by food staff
  • Kitchen planning, research, and cost analysis
  • Maintain and build relationships with vendors, food banks, and kitchen suppliers to ensure cost-efficiency
  • Keep stock and inventory of both kitchens (Dining Hall and Lodge Kitchen)
